Goods-in Coordinator & Administrative Assistant

Location: Windsor Street, Sheffield, UK (onsite working essential)

Contract Term: Permanent

Hours: Full-time

Salary: £22,00-£23,000 per annum (depending on experience)

Ossila is an established, high-tech business experiencing rapid growth. Originally founded by academics from the University of Sheffield, we are now based at an industrial business park in northeast Sheffield and have a European distribution centre in Leiden, Netherlands. Due to a recent expansion of both our manufacturing arm and our customer care and dispatch functions, we have a newly created role for a dynamic individual to provide much needed practical support that will help us thrive across multiple functions.

The successful candidate will assist our team by monitoring deliveries into the company, tracking invoices that require payment or filing and making sure packages are distributed to the correct locations. They will be the first point of contact for incoming telephone enquiries for Ossila, as well as liaising with our suppliers and communicating with site management on premises issues. There will be a broad range of tasks, all of which will help support the wider team and keep things running smoothly as we move into our next phase of growth.

This role is designed to help the entire company by being a central point of contact for a wide range of tasks to create a more efficient, organised and pleasant work environment for everyone. We are looking for someone who is flexible in their thinking and who enjoys dealing with people. This role involves face-to-face interaction with Ossila team members, delivery drivers, onsite security and premises personnel (such as electricians and plumbers), as well as Ossila’s customers and suppliers by phone and/or by email. As such, we are looking for someone who is confident and polite, who has  a people-first approach and also knows how and when to be professionally assertive. This role would suit someone who is organised and action-orientated, who has the ability to prioritise so they are able to respond when it’s needed most.  

Full training will be provided. This is a role that may grow and develop depending on the trajectory of the business and the capabilities of the person employed.

Primary functions

  • Goods-in: Main contact point for receiving goods and deliveries. Cross check orders; distribute parcels to the correct location. Liaise with logistics companies; maintain good housekeeping (cardboard recycling etc)
  • Admin support. Monitor supplier emails to identify and resolve issues; sort and forward invoices for payment/filing. Manage communications related to extended lead times and back orders.   
  • Telephone receptionist: Field/filter incoming phone calls. Provide first-line phone support for general enquiries and act as gatekeeper for non-essential calls.
  • Liaise with site reception on premises issues (access cards; guests; mail; repairs etc)
  • Assist with general administrative and practical tasks as required to keep the office running smoothly.

  • Excellent organisational skills and the ability to juggle multiple tasks
  • Ability to use own initiative to solve, or predict and prevent problems
  • Attention to detail
